Frequently asked

Questions and answers

Briefly on how Ravore works — from request processing to suppliers, security and deployment.

What is Ravore.AI?

Ravore.AI is an AI platform for procurement, tenders, suppliers and commercial offers — for goods, services and maintenance. It helps process an incoming request, parse the requirements, split items into lots, find suppliers and contractors, send requests, collect replies and compare offers in a single workspace.

Who is Ravore for?

Ravore fits procurement departments, tender teams, suppliers of goods and services, contractors and service companies, distributors, integrators, EPC companies and organizations that regularly work with requests, tenders, commercial offers and supplier bases.

Is Ravore an ERP system?

No. Ravore does not replace an ERP. It is an AI workspace for the sourcing process: requests, suppliers, RFQs, correspondence, offers, comparison and preparing the final offer. If needed, Ravore can be integrated with your ERP or internal system via API.

Does Ravore replace the buyer?

No. Ravore does not replace the buyer and does not make the final decision for a human. The system automates the routine part: request analysis, supplier search, request preparation, reply tracking and offer comparison. The final decision stays with your team.

What are the main modules in Ravore?

Ravore has four key modules: procurement request processing, Tender Alert, a smart supplier catalog and integration into the client's system. Each module can work on its own or together with the others.

What is lot splitting?

Lot splitting is dividing a request into logical groups of goods or services. For example, electrical materials, pipes, valves, instrumentation, construction works or spare parts may require different suppliers and should be compared separately.

What is the request dossier?

The request dossier is a clean PDF hard copy of what came in, from whom, and which items and requirements the request contains. It's needed for archive, management, internal approval and audit.

How does Ravore search for suppliers?

In three stages: first Find suppliers in your internal base, then Smart Match in the shared external base, and finally AI Search worldwide or local. So you use your trusted ones first, and the market is engaged only when needed.

Will my supplier base be mixed with the shared base?

No. Your private supplier base is visible only to your company and is not mixed with other clients' bases.

What is Tender Alert?

Tender Alert is a module for tracking tenders from different platforms. It collects tenders, classifies them and sends subscribers only relevant alerts matching their profile.

Can Ravore be integrated into our system?

Yes. Ravore can be embedded into a company's current system via API and adapted to existing processes.

Where is the data stored?

Data can be stored in the client's region: Azerbaijan, Türkiye, Europe or another agreed location. For enterprise clients, dedicated infrastructure is possible.

Is different clients' data mixed?

No. A client's data, suppliers, requests, documents and correspondence are isolated from other clients.

What does "self-learning models" mean?

It means the system can improve based on work history, confirmed decisions, categories, suppliers, replies and procurement outcomes. Training and data use should be configured with the client's security policy in mind.

How is Ravore related to the CIPS Procurement and Supply Cycle?

Ravore is built on the logic of the CIPS procurement cycle and automates the key sourcing part of the process: from defining the need and market analysis to supplier selection, sending requests and evaluating offers.

How long does deployment take?

It depends on the format: simple access to the platform can be launched faster, while enterprise integration with API, dedicated infrastructure and process adaptation requires a separate deployment project.

Who is responsible for the final supplier choice?

The final supplier choice is made by the client. Ravore provides data, structure, comparison and recommendations, but does not replace the decision of the procurement committee or the responsible employee.

What if a supplier replies in a non-standard format?

Ravore is designed to work with different reply formats: email text, PDF, Excel, a commercial offer, an attachment or a partial reply. The system helps extract the key data and bring it to a comparable structure.

About Ravore.AI

How is Ravore different from an ordinary supplier base?

An ordinary base is a static list of companies. Ravore is a smart base with semantic search, categories, profiles, interaction history, relevance checks and the ability to search suppliers not only by exact word but by the meaning of the request.

How is Ravore different from Excel and email?

In Excel and email a buyer manually copies data, searches for messages, compares prices, checks attachments and tracks replies. Ravore brings this into one process: request, lots, suppliers, outreach, replies, files, offers, comparison and an activity history.

What are the main modules in Ravore?

Ravore has four key modules: procurement request processing, Tender Alert, a smart supplier catalog and integration into the client's system. Each module can work on its own or together with the others.

Can I use only one module?

Yes. A company can use only procurement request processing, only Tender Alert, only the supplier catalog or only the integration module. If needed, the modules can be combined into a single system.

Procurement request processing

How does Ravore process an incoming request?

The system accepts a request from text, a file, an email or attachments, understands the content, structures the items, extracts quantities, requirements, documents and technical parameters, and splits the request into lots.

What does "AI understands the request" mean?

AI analyzes not just individual words but the overall meaning of the purchase: what needs to be bought, which category the goods or service belongs to, which parameters matter, which documents are required and which suppliers could match the request.

Can Ravore work with incomplete requests?

Yes. The system can detect what data is missing: quantity, dimensions, standard, material, delivery time, delivery terms, technical spec, drawing, certificate or another mandatory requirement. Ravore then helps compose clarifying questions.

Can the system compose clarifying questions itself?

Yes. If a request has gaps or unclear requirements, Ravore can prepare a list of questions for the customer or internal requester, so the purchase doesn't go to suppliers incomplete.

What is lot splitting?

Lot splitting is dividing a request into logical groups of goods or services. For example, electrical materials, pipes, valves, instrumentation, construction works or spare parts may require different suppliers and should be compared separately.

Why is lot splitting needed?

Without lot splitting a buyer may send the whole request to unsuitable suppliers or compare non-comparable offers. Ravore helps divide the request so each lot is searched, sent and compared separately.

Can Ravore process a mixed request?

Yes. The system is designed for mixed requests, where one request may contain different categories of goods and services. Ravore structures the items and helps decide which groups need to be searched separately.

Can Ravore work with technical specifications?

Yes. Ravore can parse technical specifications, requirements, items, units, standards, documents and attachments. Technical requirements can be kept verbatim in the request dossier.

Can Ravore read PDF, Word, Excel and scans?

Yes. Ravore can work with files and attachments, including PDF, Word, Excel and scanned documents via OCR. Recognition quality depends on the quality of the source file.

What is the request dossier?

The request dossier is a clean PDF hard copy of what came in, from whom, and which items and requirements the request contains. It's needed for archive, management, internal approval and audit.

In which languages is the dossier produced?

The dossier can be produced in AZ, EN and RU. Technical specifications can be kept verbatim so as not to distort the customer's requirements.

Supplier search

How does Ravore search for suppliers?

In three stages: first Find suppliers in your internal base, then Smart Match in the shared external base, and finally AI Search worldwide or local. So you use your trusted ones first, and the market is engaged only when needed.

What is Smart Match?

Smart Match is matching suppliers from an existing base: your private base, Ravore's shared base or a pre-loaded catalog. Suppliers are ranked by fit to the request.

What is supplier AI Search?

AI Search helps find new suppliers beyond your current base. The system searches the market for companies and analyzes their profile, category, website, contacts and fit to the purchase.

What does "search by meaning" mean?

Search by meaning means the system understands what exactly needs to be purchased, even if the supplier describes the product in other words. For example, different wordings of the same equipment can be linked to the same supplier category.

Can I search suppliers by country or region?

Yes. Search can take country, region, market, language, category and other parameters into account. This is useful if the purchase must be made in Azerbaijan, Türkiye, Europe, China or another specific region.

How many suppliers are in the catalog?

Ravore's catalog includes 3,000+ companies across 18 locations, and the base keeps growing. A client can also have their own separate private supplier base.

Will my supplier base be mixed with the shared base?

No. Your private supplier base is visible only to your company and is not mixed with other clients' bases.

Can Ravore enrich supplier contacts?

Yes. Ravore helps find and structure supplier contact data: email, website, country, category, business profile and other public information.

How does the system check suppliers?

Ravore assesses a supplier by relevance to the request, data quality, company profile, category, available contacts and other signals. This lowers the chance of working with random or irrelevant companies.

Does the supplier check mean a legal guarantee?

No. The check in Ravore helps assess relevance and data quality, but does not replace a legal, financial or compliance audit of the supplier. If needed, a company can run additional due diligence.

Can I add my own supplier manually?

Yes. A user can add a supplier manually, attach contacts, category, documents, notes and interaction history.

Can I keep the interaction history with a supplier?

Yes. Ravore can store the history of requests, replies, offers, response speed, answer quality and previous interaction with a supplier.

Request outreach and correspondence

Can I send requests to suppliers from Ravore?

Yes. Ravore lets you prepare a request and send it to suppliers in one click, keeping the history of outreach and correspondence.

Does a supplier have to register to reply?

It depends on the process settings. Ravore can support direct communication with suppliers so replying isn't complicated. Later a supplier can use a profile for documents, data and history.

Can I attach files to a request?

Yes. You can attach terms of reference, specifications, drawings, tables, forms, certificates and other documents to a request.

Can a supplier send files in reply?

Yes. The system supports file exchange in the correspondence with both sides. Commercial offers, certificates, technical sheets and other attachments can be kept inside the process.

Can I attach ISO, licenses and company documents?

Yes. Company documents, including ISO, licenses, certificates and registration documents, can be attached from the company profile and used in the relevant processes.

Can I track who replied and who didn't?

Yes. Ravore shows the status per supplier: who was sent a request, who replied, who didn't, where there are attachments, where a price was received and where a follow-up reminder is needed.

Are there reminders for suppliers?

Yes. The system can help track reply deadlines and prepare follow-up reminders for suppliers, so the buyer doesn't track everything manually in email and spreadsheets.

Offer evaluation and final offer

How does Ravore compare commercial offers?

The system collects offers, structures the data, and compares prices, currencies, delivery times, payment terms, compliance with requirements and supplier comments.

What is price normalization?

Price normalization is bringing offers to a comparable form. For example, different currencies, units, delivery terms or partial offers can be brought to a clearer structure for comparison.

Does Ravore support currencies and exchange rates?

Yes. Ravore can account for different currencies and use normalization, including rates such as CBAR, if the client's process requires it.

Can Ravore compare offers per lot?

Yes. Offers can be compared separately for each lot, because different suppliers may be strong in different categories.

Can the system pick the best supplier automatically?

Ravore can suggest a ranking and a recommendation based on price, lead time, compliance and other factors. But the final decision is made by the user or the procurement committee.

What is supplier scoring?

Scoring is assessing suppliers by predefined criteria: relevance, price, lead time, answer completeness, documents, work history, response speed and compliance with requirements.

Can I change the evaluation criteria?

Yes. In the enterprise version the evaluation criteria can be adapted to the client's procurement policy, product category or internal company rules.

Can Ravore produce a final offer for the customer?

Yes. After collecting and comparing offers, Ravore can help assemble the final offer and format it for the customer, management or internal approval.

Tender Alert

What is Tender Alert?

Tender Alert is a module for tracking tenders from different platforms. It collects tenders, classifies them and sends subscribers only relevant alerts matching their profile.

Who benefits from Tender Alert?

Tender Alert is useful for suppliers, contractors, distributors and companies that regularly look for suitable tenders but don't want to manually check dozens of platforms.

How does the system know which tender suits me?

Ravore uses the company profile, categories, key areas, goods, services, regions and semantic matching to send only relevant tenders.

Can I configure tender categories?

Yes. Categories, areas, countries, languages and tender types can be configured to the user's or company's profile.

Can I receive alerts only for the areas I need?

Yes. The goal of Tender Alert is not to flood the user with every tender, but to send only those that truly match their profile.

Smart catalog

What is Ravore's smart catalog?

The smart catalog is a business catalog of suppliers with profiles, categories, contacts, regions, documents and semantic search.

How is the smart catalog different from an ordinary company directory?

An ordinary directory shows a list. The smart catalog helps understand which suppliers fit a specific request, category or market.

Can I search a supplier by description rather than product name?

Yes. Semantic search lets you search by meaning. For example, a user can describe a need, and the system finds companies that potentially fit that purchase.

Can the catalog be used as a standalone product?

Yes. The smart catalog can be used on its own as a supplier base and search tool.

Can a supplier get into the catalog?

Yes. A supplier can be added to the catalog if their profile, categories, contacts and activity fit the base's requirements.

Integration and deployment

Can Ravore be integrated into our system?

Yes. Ravore can be embedded into a company's current system via API and adapted to existing processes.

Do we need to change our ERP or CRM?

No. Ravore can work alongside existing systems and does not require a full replacement of the current infrastructure.

Can Ravore be deployed on-premise?

Yes. Ravore can be deployed on-premise inside the company or in dedicated cloud infrastructure if the security policy requires it.

Can Ravore be used in the cloud?

Yes. Ravore can run in the cloud, on dedicated servers or in a hybrid configuration.

Can Ravore be adapted to our procurement process?

Yes. Ravore can be customized to the client's internal procedures: approval stages, templates, user roles, evaluation rules and integrations.

Can Ravore be connected to email?

Yes. Ravore can work with incoming emails, requests and attachments, moving the procurement process from scattered email into a structured workspace.

Can Ravore be connected to tender platforms?

Yes. Tender Alert is designed to collect and classify tenders from various platforms. Specific sources are connected based on availability and technical conditions.

Security and data

Where is the data stored?

Data can be stored in the client's region: Azerbaijan, Türkiye, Europe or another agreed location. For enterprise clients, dedicated infrastructure is possible.

Is different clients' data mixed?

No. A client's data, suppliers, requests, documents and correspondence are isolated from other clients.

Is my data shared with third parties?

Ravore is built around a direct channel between customer and supplier. Technical data transfer depends on the chosen infrastructure, connected AI models and client settings. For enterprise clients, on-premise and dedicated options are possible.

What does "data stays in the region" mean?

It means storage and processing of data can be arranged in a chosen geography, for example in Azerbaijan, Türkiye or Europe, to meet the client's requirements and local rules.

Is there encryption?

Yes. Connections are secured with TLS, and data can be encrypted at rest. The specific security scheme depends on the chosen deployment configuration.

Is there an audit trail?

Yes. Ravore keeps a history of actions: who created the request, which suppliers were chosen, who was sent a request, who replied, which files were received and how offers were compared.

Can employee access be restricted?

Yes. In the enterprise version you can configure roles, access rights and data visibility for different users and teams.

Does Ravore see my commercial offers?

Ravore processes commercial offers for structuring, comparison and analysis. In an enterprise configuration you can set storage, access and data processing in line with the client's policy.

Can the AI use my data for other clients?

No. A client's data must not be used to disclose information to other clients. For enterprise deployments, separate infrastructure, separate bases and localized models are possible.

AI and models

Which AI models does Ravore use?

Ravore can connect different AI models for different tasks: request parsing, supplier search, tender classification, semantic search, offer comparison and document generation.

Why are different models used?

One model doesn't always solve every task equally well. So Ravore can test and connect different models for different processes: fast search, precise analysis, classification, document work or text generation.

What does "self-learning models" mean?

It means the system can improve based on work history, confirmed decisions, categories, suppliers, replies and procurement outcomes. Training and data use should be configured with the client's security policy in mind.

Can the model make mistakes?

Yes. Any AI system can make mistakes, especially with poor document quality, ambiguous requirements or incomplete data. That's why Ravore shows the structure, recommendations and reasoning, but final control stays with the user.

How does Ravore reduce the risk of AI errors?

The system uses structuring, gap checks, lot splitting, ranking, history, manual review and an audit trail. The user can review and confirm the result before sending or making a decision.

Can specific AI features be turned off?

Yes. In an enterprise configuration you can set which features run automatically, which are triggered manually, and which are disabled.

CIPS and professional procurement

How is Ravore related to the CIPS Procurement and Supply Cycle?

Ravore is built on the logic of the CIPS procurement cycle and automates the key sourcing part of the process: from defining the need and market analysis to supplier selection, sending requests and evaluating offers.

Which CIPS stages does Ravore cover?

Ravore covers 8 of the 13 sourcing stages: define the need, market analysis, strategy and plan, market testing, tender documents, supplier selection, issuing the request and bid evaluation.

Which stages are still on the roadmap?

On the roadmap are contract, logistics and receipt, contract performance, supplier management and asset management. These areas are planned as platform extensions.

Is Ravore suitable for certified procurement professionals?

Yes. Ravore doesn't reduce procurement to "press one button" — it supports professional procurement logic: lots, categories, supplier selection, tender documentation, offer evaluation, audit trail and supplier management.

Can Ravore be used for compliance and audit?

Yes. Ravore helps keep a structured procurement trail: incoming request, documents, suppliers, requests, replies, offers, comparison and the reasoning behind the choice.

Does Ravore comply with a company's procurement policy?

Ravore can be adapted to the client's internal procurement policy: roles, stages, evaluation criteria, document templates, supplier requirements and approval rules.

For suppliers

Can a supplier use Ravore?

Yes. Suppliers can use Ravore to find relevant tenders via Tender Alert, take part in requests, and keep a profile, documents, categories and offer history.

What does a supplier get from Ravore?

A supplier gets more relevant requests, the chance to be found by meaning, a catalog profile, tender alerts and more structured communication with buyers.

Will a supplier receive irrelevant requests?

Ravore's goal is to reduce irrelevant requests. The system classifies categories and tries to send a supplier only those purchases or tenders that match their profile.

Can a supplier upload ISO, licenses and certificates?

Yes. A supplier can keep documents in the profile to use them when taking part in purchases and requests.

Does a supplier's payment affect their ranking?

Supplier ranking should be based on relevance, data quality, category, history and fit to the request. If paid promotion options appear in the future, they must be clearly separated from objective supplier matching.

Deployment, scale and operation

How long does deployment take?

It depends on the format: simple access to the platform can be launched faster, while enterprise integration with API, dedicated infrastructure and process adaptation requires a separate deployment project.

Does the team need special training?

No, but short onboarding helps adopt the system into daily work faster. Ravore is designed for buyers, tender specialists and managers who already work with requests, suppliers and offers.

Can we start with a pilot?

Yes. The best format is to start with a pilot on real requests or tenders, checking the quality of request parsing, supplier search, outreach and offer comparison.

Can Ravore be used for several companies or branches?

Yes. Ravore can be configured for different companies, teams, regions, supplier bases and access levels.

Does Ravore support multiple languages?

Yes. Ravore works with AZ, EN and RU, and can be adapted to other languages and markets depending on the client's needs.

Can Ravore scale for heavy load?

Yes. Ravore can run on dedicated infrastructure, including GPU servers and scalable backend components. Actual performance depends on the configuration, number of users, document volume and number of AI tasks.

What does "dedicated servers" mean?

It means a client can get separate infrastructure rather than working in a shared pool. This format is especially important for large companies, government organizations and clients with heightened security requirements.

Can Ravore be hosted in the client's infrastructure?

Yes. For clients with heightened requirements, on-premise or dedicated deployment options are possible.

Legal and organizational questions

Is Ravore an intermediary between buyer and supplier?

No. Ravore is a technology platform. Communication and commercial relationships stay directly between the buyer and the supplier.

Does Ravore take a commission on a purchase?

The payment model can depend on the chosen plan and deployment format. Ravore can work as a subscription, modular access or enterprise deployment. A commission model is not a mandatory part of the process.

Who is responsible for the final supplier choice?

The final supplier choice is made by the client. Ravore provides data, structure, comparison and recommendations, but does not replace the decision of the procurement committee or the responsible employee.

Can Ravore be used in public procurement?

Yes, Ravore can help analyze requirements, find suppliers, prepare documents, track tenders and structure the process. Compliance with the law and the rules of a specific procurement procedure remains the user's responsibility.

Can confidential documents be stored?

Yes, with proper configuration of infrastructure, access rights, encryption and retention policy. For sensitive data, dedicated or on-premise deployment is recommended.

What if a supplier replies in a non-standard format?

Ravore is designed to work with different reply formats: email text, PDF, Excel, a commercial offer, an attachment or a partial reply. The system helps extract the key data and bring it to a comparable structure.

What if a supplier gave a price without delivery or without VAT?

The system can flag such terms as a note, so the user sees that offers are not fully comparable. If needed, the price can be normalized for delivery, VAT, currency and other terms.

What if a supplier offered an equivalent?

Ravore can record that an offer is an equivalent and show it separately in the comparison. The user can accept, reject or send a clarification to the supplier.

What if a supplier didn't reply on all items?

The system can flag a partial offer and show which items are covered and which need additional search or clarification.

What if a request contains several different supplier markets?

Ravore splits the request into lots and helps search suppliers separately for each category. This is especially important for complex and mixed requests.

Can Ravore be used for services, not only goods?

Yes. Ravore can be applied not only to goods but also to services, works, maintenance, construction, logistics and other procurement categories.

Can Ravore be used for international procurement?

Yes. The system can search suppliers across different countries and work with different currencies, languages, documents and delivery terms.

Can results be exported?

Yes. Processing results, comparisons, dossiers and final documents can be prepared for download, printing, archive or sending.

What is Ravore's main advantage?

Ravore's main advantage is cutting the time from an incoming request to a real commercial offer. The system removes manual routine, helps find relevant suppliers, track replies and compare offers in one place.
